The Executive Assistant will support the Chief Revenue Officer (CRO) by performing various administrative, secretarial and communication duties for and on behalf of the CRO.


  • Calendar Manager:
    • Schedule appointments using Microsoft Outlook.
    • Manage and communicate a complex and fluid schedule.
    • Optimize CRO's time by acting as gatekeeper to regulate calls and meetings.
  • Business Contact Manager:
    • Maintain current contact information for key employees, partners, and vendors using Microsoft Outlook.
  • Secretary:
    • Draft official letter and e-mail correspondence on behalf of CRO and obtain CRO's signature as approproate.
  • Recording Secretary:
    • Prepare and distribute meeting schedule and agendas.
    • Take and distribute meetings notes.
    • Follow-up on action items and deliverables due to the CRO.
  • Travel Agent:
    • Act as travel agent (or work with outside travel agency) to research, nook and amend CRO's comprehensive travel schedule within budget and on a timely basis.
    • Work with outside parties to secure meeting and lodging space in advance of meetings and retreats.
  • Expense Report Preparer:
    • Complete CRO's expense reimbursement reports by obtaining receipts from CRO or third party vendor and sending reports and receipts to the company's accounting department on a timely basis.
  • Family Liaison:
    • Perform personal duties from time to time (e.g. booking personal travel or calendar items, communicating with CRO's wife) to help maximize CRO's time.
  • Other:
    • Keep normal business hours on behalf of the CRO (8a,-5pm) and be available after hours when needed (especially when then CRO is traveling).
    • Welcome guests and clients by greeting them warmly, in person, or on the telephone.
    • Organize social functions for CRO's team, clients, or partners as directed.
    • Procure office supplies as needed.
    • Maintain confidence and protect operations by keeping information confidential.
    • Keep key documents on file for use when needed.
      • Route key documents internally or externally in a professional and timely manner, which should include a typed cover letter from the Executive Assistant him or herself.
    • Maintain a positive and cheerful attitude at all times.

The right candidate must be flexible, organized, proactive, and calm under pressure. Excellent communication and inter-personal skills are essential for this role because interaction with senior staff and others across all levels of our business groups is necessary. This position also requires a professional demeanor, sense of urgency, and the ability to prioritize.
