  • Overview

    The Executive Assistant will support the University Partnership Group (UPG) by performing various administrative, secretarial and communication duties for and on behalf of the Chief Business Development Officer (CBDO).


    • Schedules appointments using Microsoft Outlook.
    • Manages and communicates a complex and fluid schedule.
    • Optimizes CBDO’s time by managing calls and meetings, including obtaining agendas and supporting materials in advance to make calls and meetings productive.
    • Maintains current contact information for key employees, partners, and vendors using Microsoft Outlook.
    • Draft correspondence, memos and other documents on behalf of Chief Business Development Officer and UPG and obtains CBDO’s signature as appropriate.
    • Takes meeting notes, prepares and distributes meeting schedules and agendas.
    • Provides appropriate follow-up on action items and deliverables due to the Chief Business Development Officer
    • Works with outside parties to secure meeting and lodging space in advance of meetings and retreats.
    • Assist in maintaining key relationships through frequent correspondence, gifts, and other forms of communication.
    • Completes Chief Business Development Officer and other Executive Directors expense reimbursement reports.
    • Keeps normal business hours (Mon-Fri, 8am-5pm) and be available after hours when needed (especially when the CBDO is traveling).
    • Welcomes guests and clients by greeting them professionally, in person, or on the telephone.
    • Organizes social functions for Chief Business Development Officer’s team, clients, or partners as directed.
    • Procures office supplies as needed.
    • Create and/or edit presentations for internal and external audiences.
    • Assist Executive Directors with tasks as assigned.
    • May perform additional duties as assigned.


    • Exceptional organizational skills with a demonstrated ability to work in an accurate manner.
    • Ability to exercise sound judgment, maintain confidentiality, and prioritize duties independently.
    • Proficient with Microsoft Office suite, specifically Outlook, Word, Excel, and PowerPoint.
    • Ability to maintain positive and professional attitude at all times.
    • Excellent communication and inter-personal skills.
    • Bachelor’s degree preferred.
    • 3-6 years related experience.
