    The Executive Assistant will support both the Executive Vice Presidents (EVPs) in a dual reporting role by performing various administrative, secretarial and communication duties on behalf of the EVPs.


    • Schedules appointments using Microsoft Outlook.
    • Manages and communicates a complex and fluid schedule.
    • Optimizes EVPs’ time by managing calls and meetings, including obtaining agendas and supporting materials in advance to make calls and meetings productive.
    • Maintains current contact information for key employees, partners, and vendors using Microsoft Outlook.
    • Draft correspondence, memos and other documents on behalf of EVPs and obtain EVPs’ signature as appropriate.
    • Takes meeting notes, prepares and distributes meeting schedules and agendas.
    • Provides appropriate follow-up on action items and deliverables due to the EVPs.
    • Acts as travel agent (or works with outside travel agency) to research, book and amend EVPs’ comprehensive travel schedule within budget and on a timely basis.
    • Works with outside parties to secure meeting and lodging space in advance of meetings and retreats.
    • Completes EVPs’ expense reimbursement reports.
    • Assists with EVPs’ personal responsibilities from time to time (e.g. booking personal travel or calendar items, communicating with EVPs’ family). To help maximize EVPs’ time.
    • Keeps normal business hours on behalf of the EVPs (Mon-Fri, 8am-5pm) and be available after hours when needed (especially when the EVPs are traveling).
    • Welcomes guests and clients by greeting them professionally, in person, or on the telephone.
    • Organizes social functions for EVPs’ team, clients, or partners as directed.
    • Procures office supplies as needed.
    • Work closely with other Executive Assistants to ensure productivity and coordination within the Executive Suite.
    • Create and/or edit presentations for internal and external audiences.
    • Provides historical reference by developing and utilizing filing and retrieval systems.
    • Maintains internal and partner confidence and protects operations by keeping information confidential.

    • May perform additional duties as assigned.


    • Exceptional organizational skills with a demonstrated ability to work in an accurate manner.
    • Ability to exercise sound judgment, maintain confidentiality, and prioritize duties independently.
    • Proficient with Microsoft Office suite, specifically Outlook, Word, Excel, and PowerPoint.
    • Ability to maintain positive and professional attitude.
    • Excellent communication and inter-personal skills.
    • Bachelor's degree preferred.
    • 3-6 years related experience.
